Step 3 of 7 — Store · where stock lives, and counting it

Confirm a transfer in

How to4 min read

Short answer

Confirming a transfer in is signing for the parcel. Open the shipment in your list, check each product against what is really in the box, change any quantity that does not match, and tap Confirm receipt. That tap is what puts the stock on your location's books. Any quantity you change is recorded as a discrepancy for someone to follow up.

Doing this needs the Receive transfers permission.

What is this?

Confirming a transfer in is signing for the parcel.

A box arrived. Until someone says what was in it, the units still belong to the site that sent them. Your confirmation is the moment they become yours. It takes about a minute on a phone.

This page covers:

Open the box first

Count the contents, then open the app.

The screen already knows what was sent. If you confirm from the paperwork instead of from the box, you have recorded the sender's intention, not the delivery. Every number after that is a guess.

You need nothing else. No reference to type, no location to pick. The shipment is waiting for you.

Confirm it on your phone

  1. Open Transfers. The badge shows how many shipments are on the way to you.
  2. Tap the one you just opened. Each card is one product.
  3. Read Expected on each card. That is what was sent.
  4. The quantity starts at the expected number. If the box matches, leave it.
  5. If it does not match, tap − or +, or type the real number.
  6. Tap Confirm receipt at the bottom.

If every line matches, that is the whole job. The next screen tells you it is done and shows the reference.

If any line was changed, a panel slides up first. It lists what you changed, sent against got, and asks again. Go back to fix a typo. Confirm anyway if the numbers are right.

Tap Confirm receipt once and wait. Opening the same shipment later shows you the done screen instead — it cannot be received twice.

When the box does not match

Enter what is in front of you. Never round to what was expected.

  • Short. Type the smaller number.
  • Extra. Type the larger number.
  • Nothing arrived for a line. Type 0.
  • Damaged. Only count units you would put on the shelf.

A line you changed turns amber and tells you how far off it is. When you confirm, every changed line is saved as a discrepancy against the shipment, and the shipment is marked With discrepancies instead of Received.

Someone at a desk resolves each one — writing off the loss, arranging a return, or flagging it for follow-up. That is not your step and it does not block you.

Do not hold a whole shipment back because one line is wrong. Confirm what you have. An unconfirmed box is invisible to everyone, and a shipment sitting in transit for a week is far harder to sort out than a recorded discrepancy.

What your tap changes

Until you tap, nothing has moved.

The units are still counted at the site that sent them, set aside for you. The moment you confirm, two permanent entries are written at once: one taking what was sent off the sending site, one putting what you received onto yours.

Three things follow from that:

  • Your stock goes up by what you typed, not by what was sent. Units that never arrived do not quietly appear on your shelf.
  • The sending site's reservation is released. Its numbers settle at the same moment yours do.
  • Nothing is overwritten. Both entries stay forever, so the shipment can be explained months later.

If your location sells to customers, the units become sellable straight away. Some location types hold stock without offering it online — that is by design, not a fault of your confirmation.

If the shipment is not in your list

Work through these three, in order.

  • It has not been dispatched. A shipment only reaches your list once the sending site marks it as on its way. If the boxes are physically with you but the app is not, ask whoever packed them to dispatch it.
  • It is going to a warehouse. The phone list carries shipments headed to a retail counter or a partner location. Anything arriving at a warehouse is confirmed from the transfers page at a desk instead.
  • It was already confirmed. If tapping through shows a done screen, someone got there first. Check with them before counting the box again.

One more possibility, if you can open the shipment but the confirm is refused: recording a receipt needs the receive-transfers permission. Send the reference and your counts to someone who has it, rather than adjusting stock another way to compensate.
